Customs documents - what is worth remembering?

Customs documents are necessary for every international transaction. They are verified each time specific goods and products cross the border of a given country. There are several types of them, which are described later in this article.

Customs documents - what will you need?

Customs documents must be prepared to export goods from Poland. These include the Invoice, which specifies the terms of delivery. The seller issues it to the consumer. It includes purchase details:

  • quantity,
  • net / gross weight,
  • unit price / total price.

Customs documents in maritime transport

Bill of Lading - Bill of Lading, i.e. a type of bill of lading that is used in sea transport. It confirms the receipt of the cargo on the ship and obliges the carrier to issue it to the holder of this document, but it does not replace the transport order, specified in a separate contract.

Packing List - consistent with the bill of lading. The appendix to the general cargo shipping documents specifies the loading onto the means of transport. Each export invoice must contain a goods list / specification.

When exporting to Norway, do not forget about the EU CE certificate. If it bears the CE logo, it must be marked in a visible place.

Export invoice - what must it contain?

The export invoice includes the following data:

  • the exporter's EORI number appearing in the Economic Entity Registration and Identification System,
  • company names, addresses of the sender, recipient,
  • type of currency,
  • purpose of shipment:
    • sale,
    • transfer for warranty repair,
    • temporary exhibition,
    • trade fairs,
    • present,
  • information about the goods being shipped:
    • trade name,
    • unit price, total value,
    • country of origin,
    • date, signature of the issuer of the invoice,
  • company stamp,
  • invoice number,
  • place, date of issue,
  • conditions of delivery,
  • other data required by separate regulations (permits, permits).

What else is worth knowing?

When preparing customs documents, one should take into account the issue of tax refund, which involves submitting a declaration of intention to apply for a VAT refund to the Tax Office. Therefore, the originals should be attached: invoice, SAD and the decision of the Customs Office on the return / certified copy.

SAD is a written confirmation of declaration for customs clearance. In electronic form, the Confirmation of the Customs Declaration is a PZC document with the date, time of acceptance of the declaration, assigning the OGL customs clearance number, and the date of release of the goods. The declarations are stored in the Export Control System (ESC). In the event of a system failure, the SAD is the customs document informing about exports from Poland.

Export to Norway

Import / export within the EEA, but outside the EU territory, is determined by the ESC procedure:

  • customs declaration in ESC, IE515 message inform about declaration of goods for export,
  • IE528, accepting the declaration, assigning the MRN number (recording export operation),
  • IE529, Exemption for EAD Export Procedure - Export Accompanying Document generated,
  • consent of the Customs Office for export, container release in the system,
  • termination of the procedure, notification by electronic message of the exporter.

When deciding to export to Norway, remember to translate the invoice into English or Polish - it depends on the language of the invoice.

Export from Poland to Norway - what should you remember?

Export from Poland is associated with the preparation of additional statements regarding the transport of goods of strategic importance and IATA DGR certifying that the shipped goods do not contain hazardous substances. The declarations should include the company name, first name, surname and signature of the exporter's representative.

What should be attached in addition to the original documents?

In addition to the above-mentioned documents, which must be attached in the original, for the remaining formalities, copies of the current excerpt from the National Court Register (or Business Activity Register), REGON and NIP certificates are sufficient. In some situations, additional documents may be needed, which include in particular:

  • invoice / statement on transport costs,
  • fumigation certificate / certificate (for packaging, raw wood protection).
  • veterinary certificate.
  • contracts, approvals, import permits for textiles / steel products.
